Update Metadata Site

This site is used for updating document metadata.

Two options are available - Overwrite values and Add values.

Preconditions:

  • Prepare files in CSV format type in order to avoid potential error messages while importing the file.

  • Open the CSV file in order to enter the values. 

  • Check the document number in the file, needs to be entered properly, between single quotes (example: '00000036').

  • After you done that, be free to populate all the fields that you need for update.

  • All the fields are ready for update including Document name, but beside Site and Related files in both templates.

Note: Make sure that after every change in the files, choose the option "Save as" and choose type: CSV (comma delimiter).

First option - Overwrite Metadata 

For the first option and overriding metadata use template called overwrite_values_template!

After you have done all that is required for the preparation of CSV file as described above under the Preconditions section, do next:

  • open tag Sites and click on Update Metadata site on DEV environment.

  • when the site is opened, click on Upload button and upload a CSV file ready for the update.

  • find the file and upload it on this site. 

  • after the uploading of the file is done, you can see the drop-down list of available actions for that file, click on more and choose action Overwrite metadata. (look at the picture below)

  • clicking on that action you will get a pop up message that the updating is in progress, and after everything is done successfully, the page will reload and you will see that new file is appeared with the prefix Backup-. (look at the picture below)

  • that Backup file has the state before the update. If something goes wrong, you can use this file to return everything as it was before the update. 

  • you can check the changes, the minor version of the file version should increase by one.

  • if that file has sanitized version, all the changes from base document will be reflected to the sanitized version file also. 

Second option - Add values

For the second option and adding new metadata to existing ones use template called add_values_template!

After you have done all that is required for the preparation of CSV file as described above under the Preconditions section, do next:

  • open tag Sites and click on Update Metadata site on DEV environment.

  • when the site is opened, click on Upload button and upload a CSV file ready for the update.

  • find the file and upload it on this site. 

  • after the uploading of the file is done, you can see the drop-down list of available actions for that file, click on more and choose action Add values. (look at the picture below)

  • clicking on that action you will get a pop up message that the updating is in progress, and after everything is done successfully the page will reload.

  • you will see that new files are appeared with the prefix Backup- and UpdatedFile-Backup-. (look at the picture below)

  • Backup file has the state before the update, UpdatedFile-Backup has the state after the update. 

  • as for this second option, you can not execute Backup file to reverse everything as before the update.

  • that's why there is to backup files in order to compare the values before and after the update is done. 

  • you can check the changes, the minor version of the file version should increase by one.

  • if that file has sanitized version, all the changes from base document will be reflected to the sanitized version file also. 

NOTE:  the fields that are using add logic are text fields and multiselection fields (title, remarks, study objective, pre-application id, notification id, study remarks, coownership, active ingredients, product names, sections, guidelines)

Other fields are using override logic.
